This Privacy Policy explains how HVZ Game ("HVZ Game," "we," "us," or "our") collects, uses, discloses, retains, and protects personal information when you use hvzgame.com, our mobile applications, public organization pages, administrative tools, and related services (collectively, the "Services"). It also describes the choices and rights that may be available to you.
2. HVZ Game and participating organizations
HVZ Game supplies software used by independent schools, clubs, and other organizations to operate their own events. A participating organization determines its event rules, participant eligibility, staff access, safety procedures, and how event records are used. Organization administrators may access and manage information associated with their organization and games. Questions about an organization's event-specific practices should be directed to that organization.
3. Information we collect
The information we collect depends on the features you use and may include:
- Account and profile information: name, email address, authentication records, profile photo, organization membership, player number, wristband information, team, faction, staff role, and account status.
- Game and event information: registrations, attendance, tags, faction changes, missions, objectives, points, kills, teams, awards, powerups, blaster registrations, reports, moderation actions, and game history.
- Content and communications: messages, reactions, replies, announcements, images, support requests, reports, document acknowledgements, and other content you submit through the Services.
- Location information: precise or approximate location when you enable a feature that requires location access, such as maps, play-zone tools, check-ins, or location-relevant passes.
- Device and usage information: device and browser type, operating system, app version, IP address, push-notification token, identifiers needed to provide the Services, pages or features used, session activity, crash data, diagnostics, and performance information.
- Organization and public-page information: organization name, staff profiles, public contact information, event dates, information sessions, rules, artwork, and other material submitted for publication.
Please do not submit sensitive personal information that the Services do not request. Organization administrators should collect only the information reasonably necessary to operate their events.
4. How we collect information
We collect information:
- directly from you when you create an account, register, communicate, upload content, or use a gameplay feature;
- from organization administrators when they register players, record game activity, moderate content, or manage an event;
- automatically from your device when you use the Services; and
- from services you choose to connect or use with HVZ Game, subject to their permissions and policies.
5. How we use information
We use personal information to:
- create and secure accounts, authenticate users, and manage permissions;
- provide registrations, teams, tags, scoring, objectives, maps, messages, announcements, passes, notifications, moderation, and other requested features;
- enable organizations to administer games, respond to reports, enforce rules, and maintain event records;
- communicate about accounts, events, support, safety, security, and material service changes;
- detect fraud, abuse, security incidents, and violations of our Terms of Service;
- measure engagement, diagnose problems, and improve the accessibility, performance, reliability, and design of the Services;
- comply with law, legal process, and enforceable requests; and
- create aggregated or de-identified information that does not reasonably identify an individual.
6. Location information
Location access is controlled through your device settings. When enabled, a feature may use location to display game maps or zones, determine whether a location-relevant feature should appear, or support an event function you request. HVZ Game does not sell precise location information. Disabling location access may limit location-dependent features but does not prevent use of unrelated features.
7. When we disclose information
We may disclose information:
- To your organization: authorized administrators and moderators may access information needed to operate, support, and secure their games.
- To service providers: vendors may process information for hosting, authentication, storage, maps, notifications, email, analytics, diagnostics, security, and technical support under contractual or other appropriate restrictions.
- For safety and legal reasons: we may disclose information when we reasonably believe disclosure is required by law or necessary to protect the rights, safety, or security of a person, organization, the public, or the Services.
- During a business transition: information may be disclosed as part of a merger, financing, reorganization, acquisition, transfer, or similar transaction, subject to applicable law.
- With your direction or consent: we may disclose information when you ask us to or authorize the disclosure.
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising.
8. Public and community features
Information you submit to public pages, player directories, teams, leaderboards, group conversations, or other shared areas may be visible to other users or the public, depending on the feature and organization settings. Do not post information that you do not want the intended audience to see. Organizations are responsible for deciding which event information they publish on their public pages.
9. Cookies and similar technologies
We use cookies, local storage, and similar technologies to keep users signed in, preserve preferences, secure sessions, remember settings, measure service performance, and diagnose errors. Blocking these technologies may prevent some web features from working correctly. We do not use them to serve cross-context behavioral advertising.
10. Data retention
We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including providing the Services, preserving legitimate game and moderation records, meeting legal obligations, resolving disputes, and enforcing agreements. Retention periods vary based on the type of information, the relevant organization's needs, and legal or security requirements. We may retain aggregated or de-identified information that no longer reasonably identifies you.
11. Data security
We use administrative, technical, and organizational safeguards designed to protect personal information. No storage or transmission system can be guaranteed completely secure. You are responsible for protecting your credentials, using a unique password, and promptly reporting suspected unauthorized access to your account.
12. Your choices and requests
- Review or update available profile information in the app.
- Manage location, camera, photo-library, and notification permissions in your device settings.
- Leave a team, conversation, organization, or game where the applicable feature permits it.
- Request access, correction, deletion, or a copy of personal information by contacting us.
We may need to verify your identity before completing a request. Certain records may be retained where permitted or required by law, including records needed for security, moderation, dispute resolution, or the integrity of completed games. If information is controlled by a participating organization, we may direct your request to that organization.
13. State privacy rights
Depending on where you live and subject to applicable exceptions, you may have rights to know, access, correct, delete, or obtain a portable copy of personal information, and to appeal a denied request. You may also have rights concerning the sale, sharing, or use of sensitive personal information. HVZ Game does not sell personal information or use it for cross-context behavioral advertising. We will not discriminate against you for exercising an applicable privacy right.
14. Children and younger users
The Services are not directed to children under 13, and we do not knowingly collect personal information from a child under 13. If we learn that we have done so, we will take appropriate steps to delete it. Users under 18 may participate only with any permission required by their parent or guardian, school, organization, and applicable law.
15. Third-party services
The Services may link to or integrate with third-party services. Their privacy practices are governed by their own policies, and this Policy does not apply to information they independently collect or control.
16. Changes to this Policy
We may update this Policy to reflect changes to the Services, our practices, or applicable law. We will post the revised Policy with a new effective date and provide additional notice when required. Your continued use of the Services after the effective date is subject to the revised Policy.
